Staging a concert, sports fixture, exhibition or large-scale conference in Hong Kong or across Asia means committing significant production budget and venue costs long before the gates open. If the event is cancelled, abandoned or postponed for reasons outside your control, those sunk costs — and your expected revenue — can disappear overnight. Event Cancellation Insurance protects organisers against exactly this risk. Looper Insurance Agency Limited (GA1034), a licensed Hong Kong insurance agency, arranges event cancellation cover for local and regional organisers through the international specialty market.
Who Needs Event Cancellation Insurance
Any principal or organiser that commits cost up front — and stands to lose it if the event cannot proceed — should consider cover: concert promoters, touring productions and music festivals; sports and esports organisers; exhibition, conference and trade-show operators (MICE); carnivals, markets and festivals; large weddings and private functions.
Event Cancellation Insurance indemnifies the organiser for irrecoverable costs — and the insured profit specified in the policy, if any — when an event is cancelled, abandoned or postponed for reasons beyond the insured’s control. For events carrying budgets in the millions, this cover is what stands between a single adverse event and a catastrophic financial loss.
What Is Covered (and What Is Not)
Event cancellation cover is structured as a package: a core Cancellation section plus optional sub-sections.
Section | What it covers |
|---|---|
Cancellation | Irrecoverable costs (plus stated profit) if the event is cancelled, abandoned or postponed |
Non-Appearance | Loss caused by a key person failing to appear (death, accident, illness, involuntary detention) |
Equipment | Damage to or loss of event equipment |
Public Liability | The organiser’s liability to third parties for injury or property damage during the event |
Inclement Weather (optional) | Cancellation of outdoor / tented events due to weather — must be added |
Each section’s sum insured and excess are set per event in the policy’s Particular Conditions (schedule), not by a fixed tariff, so coverage is tailored to the size of your event.
A key feature is the “60% rule”: once the event or performance has run for 60% of its scheduled duration, the Cancellation and Non-Appearance cover ceases. The policy insures the risk that an event cannot substantially take place — not an event that has largely been completed.
Non-Appearance Cover for Key Talent
When a headline performer falls ill or is injured and cannot appear, the Non-Appearance section responds to loss caused by a key insured person (and, where applicable, their spouse or immediate family) being absent due to death, accident, illness or involuntary detention. A pre-existing illness known at inception is excluded, and where the insured budget exceeds USD 250,000 the insurer may require the insured person to undergo a medical examination before cover is granted.
Adverse Weather, Pandemic and Terrorism
Scenario | Standard cover | Note |
|---|---|---|
Indoor event cancelled by natural catastrophe | Covered | — |
Outdoor / tented event cancelled by weather | Not standard | Requires “Inclement Weather” extension |
Communicable disease / pandemic / government order | Excluded | Express general exclusion |
General terrorism | Excluded | Terrorism at the event venue may be carved back |
Organiser insolvency / lack of funds | Excluded | — |
Cancellation of an outdoor event because of rain or a typhoon is not covered under the standard Cancellation section — it requires a separate Inclement Weather extension. Likewise, cancellation arising from communicable disease, quarantine or travel advisories is an express general exclusion.
When to Arrange Cover
Event cancellation cover carries a subscription deadline: without weather cover, arrange at least 5 days before the event; with weather cover, at least 10 days before; cover can be arranged up to 1 year ahead. The standard insurable budget is typically up to HKD 25,000,000; larger events require special arrangement, for example in the international facultative market. Where fireworks are involved, the policy usually carries strict warranties on set-off distance, wind speed and licensing — a breach can void cover — so these must be declared at quotation.
FAQ
Q: Is cancellation due to rain covered?
A: Indoor events cancelled by natural catastrophe are covered; but outdoor or tented events cancelled by adverse weather require a separate Inclement Weather extension, arranged at least 10 days before the event.
Q: Is a headline performer’s no-show covered?
A: Yes, under the Non-Appearance section, where a key insured person cannot appear due to death, accident, illness or involuntary detention. A pre-existing illness known at inception is excluded, and the performer’s own fee is not indemnified.
Q: Is cancellation due to a pandemic or government order covered?
A: No. Communicable disease, quarantine and travel advisories are express general exclusions under standard event cancellation insurance.
Q: How far in advance should I arrange cover?
A: At least 5 days before the event without weather cover, or at least 10 days with Inclement Weather cover; cover can be arranged up to a year ahead.
