Looper Insurance Agency Limited (“Looper”, “we”, “us” or “our”), a licensed insurance agency in Hong Kong (IA Licence No. GA1034), is committed to protecting the privacy of your personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (the “PDPO”). This Privacy Policy explains how we collect, use, disclose and protect your personal data when you interact with us, including through our website and online quotation and application forms, WhatsApp, email, telephone or in person.

By providing your personal data to us or using our services, you confirm that you have read and understood this Privacy Policy.

1. Personal Data We Collect

We may collect the following categories of personal data:

• Identity and contact details — your name, Hong Kong Identity Card or passport number and images of these documents that you upload to our online forms (where required for underwriting, policy issue or regulatory purposes), date of birth, gender, address, telephone number and email address;

• Insurance and policy information — details of the risks to be insured (for example your home, trip, vehicle, event or domestic helper), your existing and prior policies, sums insured and claims history;

• Financial and payment information — premium payment details and bank or payment account information;

• Claims information — particulars and supporting documents relating to any claim;

• Information about third parties — where you provide personal data of other individuals (such as named drivers, travelling companions, domestic helpers, employees, family members or beneficiaries), you confirm that you are authorised to do so and have informed them of this Privacy Policy; and

• Technical and usage data — information collected automatically when you use our website, such as IP address, browser type and pages viewed, through cookies and similar technologies.

You are not obliged to provide your personal data to us, but if you do not, we may be unable to provide you with quotations, arrange insurance or handle your claim.

2. How We Use Your Personal Data

We use your personal data for purposes connected with our business as a licensed insurance agency, including to:

• assess your needs, prepare quotations and arrange, place and administer insurance policies;

• communicate with the insurers we represent, and their reinsurers, to arrange your cover;

• process, investigate and handle claims, including liaising with loss adjusters and surveyors;

• administer renewals, endorsements, cancellations and refunds;

• process premium payments and manage our accounts;

• comply with our legal and regulatory obligations, including those of the Insurance Authority and applicable anti-money-laundering, counter-terrorist-financing and sanctions requirements;

• maintain our business records and manage our internal operations; and

• where you have consented, send you direct marketing communications (see section 4).

We will not use your personal data for a new purpose that is materially different from the purposes set out above without your consent.

3. Disclosure of Your Personal Data

We may disclose your personal data, on a need-to-know basis and for the purposes set out above, to:

• the insurers and reinsurers with whom we place or seek to place your insurance, which may include parties located outside Hong Kong;

• loss adjusters, surveyors, claims handlers, investigators and other parties involved in administering or settling claims;

• our service providers, agents and contractors who support our business (for example, cloud hosting and storage, online forms, identity-document processing, email and messaging, payment services and professional advisers), who are required to keep your data confidential;

• regulatory, governmental and law-enforcement authorities, including the Insurance Authority and the Office of the Privacy Commissioner for Personal Data, where required or permitted by law; and

• any actual or proposed assignee, transferee or successor of our business.

We do not sell your personal data.

4. Direct Marketing

We intend to use your name and contact details (email, telephone and WhatsApp number) to send you direct marketing consisting of information, offers and promotions about general insurance products and services arranged by Looper. We will not use your personal data for direct marketing, nor provide it to any other person for that person’s direct marketing, without your consent (which includes an indication of no objection). You can give consent by ticking the marketing box on our forms, by emailing cs@looperin.com or by sending a WhatsApp message to 2633 6813.

You may withdraw your consent and opt out of direct marketing at any time, free of charge, by emailing cs@looperin.com or by sending a WhatsApp message to 2633 6813, and we will cease such use upon receiving your request.

5. Transfer of Data Outside Hong Kong

To arrange your insurance and handle claims, your personal data may be transferred to and processed by insurers, reinsurers and service providers located outside Hong Kong, including in international insurance markets. Our website, online forms, email and document storage also run on cloud services whose servers may be located outside Hong Kong. Where we transfer data outside Hong Kong, we take reasonable steps to ensure it is handled in accordance with this Privacy Policy and applicable law.

6. Retention of Data

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected and to meet our legal, regulatory and business requirements. In general, quotation requests and applications that do not proceed, and records relating to a policy or claim, are kept for seven (7) years from the request or from the end of the policy or claim, whichever is later, and longer where required by law. If you save an online application to finish later, the saved copy is deleted after its link expires at 7 days unless you submit the application. Our home, travel and domestic helper application forms also keep what you type in your browser on your own device, and restore it if you return within 7 days; declarations and uploaded documents are not kept there, and it is cleared when you submit. On a shared device, clear your browser data, or press 清除並重新填寫 (clear and start again) when the restored details appear. When your personal data is no longer required, we take reasonable steps to securely destroy or anonymise it. We also take reasonably practicable steps to ensure that personal data held by us is accurate having regard to the purposes for which it is used.

7. Data Security

We implement reasonable technical and organisational measures to protect your personal data against unauthorised or accidental access, processing, loss or destruction. However, no method of transmission or storage is completely secure, and we cannot guarantee the absolute security of data transmitted over the internet or through messaging applications.

8. Cookies and Website Analytics

Our website uses cookies and similar technologies to operate the site, remember your preferences and understand how visitors use it. We use Google Analytics and Framer’s built-in site analytics to measure visits in aggregate; these services may use cookies and process your IP address and device information on servers outside Hong Kong. You may disable cookies in your browser settings, although some features of the site may not then work properly.

9. Your Rights of Access and Correction

Under the PDPO, you have the right to request access to and correction of your personal data held by us, and to be informed of our policies and practices in relation to personal data. Please send your request to our Data Protection Officer at cs@looperin.com or at the address in section 13. We will respond within 40 days of receiving your request. We may charge a fee that is not excessive for complying with a data access request; correction requests are free.

10. Third-Party Links

Our website may contain links to third-party websites. This Privacy Policy does not apply to those websites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any third-party website you visit.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The current version will always be available on our website, and your continued use of our services or website constitutes acceptance of the updated policy.

12. Governing Law

This Privacy Policy is governed by and construed in accordance with the laws of the Hong Kong Special Administrative Region, including the PDPO.
